Reuters Events operates globally with a wide portfolio of events and recognises the evolving impact on our industry from COVID-19. We have been monitoring the Coronavirus outbreak, with the health and wellbeing of our customers and staff front and centre of our minds from the very start. Our Covid-19 Taskforce launched early in 2020, and we have been working with major venues, industry associations, health & safety experts, local authorities, and other event organisers to monitor the situation globally ever since.

To ensure we uphold the highest standards of health, safety and security, our first priority will be to ensure our events run in accordance with official government guidance and regulations. Additionally, Reuters Events will be following the four cornerstones of the All Secure Standards: Physical Distancing, Cleaning & Hygiene, Protect & Detect and Communication.. These industry driven guidelines developed by leading industry associations including the AEO, UFI & SISO, offer best practices to support the safe delivery of all types of events across the world. They will underpin the health and safety plans for all events in our portfolio.

Reuters Events All Secure Pledges

The ‘new normal’ for event delivery is evolving to reflect government guidance and new societal expectations across the globe. What will never change is our commitment to upholding a safe environment for Reuters Events customers. Our four All Secure Pledges outline the enhanced measures we will use to give our attendees the confidence that their health and safety is our number one priority.

Physical Distancing

Whilst it will be great to be back meeting in person, in the interest of keeping you safe we want to ensure we have some measures in place to limit close contact.

Registration

We will move to a contactless registration system, that will allow for easy access and encourage steady flow into the event space.

Crowd Density

We will work to adjusted venue capacities and will ensure that physical distancing in line with government rules and regulations and health authority guidance is observed throughout the conference, exhibition, catering and networking spaces. This will be managed through control measures such as a one-way traffic system, staggered and expanded entry times, on-site signage and floor markings.

Physical Contact

We will advise against conventional ways of greeting peers that encourage close proximity such as handshakes and embraces. We will also limit printed materials such as show guides, flyers and brochures at our events and encourage digital alternatives where appropriate.

We are committed to hosting our events at venues across the world that have a robust and up to date approach to venue cleaning and hygiene and uphold the highest standards of food safety.

Enhanced Venue Cleaning

Enhanced, deep cleaning will take place before and during our events. The focus will be on high-touch areas such as restrooms, catering areas, conference rooms and exhibition stands.

Food & Beverage

We will avoid self-service in favour of serviced or individually packaged food options and will ensure the relevant social distance is maintained in catering areas.

Hand Hygiene

For you to feel personally protected, we will ensure that hand sanitiser is readily available and encourage consistent hand washing throughout the event.

Personal Protective Equipment (PPE)

Reuters Events will ask participants and staff to wear masks when entering the event space in line with government rules and regulations and health authority guidance. Should this be necessary, we reserve the right to refuse entry if someone is unwilling to comply. We will have masks available upon request at all of our events

First Aid

Participants will be asked not to attend if they are displaying Covid 19 symptoms. We will follow health authority guidance on managing potential Covid 19 cases. All events will have access to a qualified first aider and a quarantine area where possible.

Screening

Screening will be used where necessary to ensure the safety of all participants. This may include temperature checking on entry through thermal scanning or other screening processes.

Contact Tracing

Should it be necessary, Reuters Events will work with local authorities to trace and contact participants at our events, subject to local privacy regulations.

Reuters Events All Secure FAQ

Health & Safety

The Reuters Events All Secure Pledges are based on a set of event industry best practice guidelines, called All Secure. Developed by leading industry associations including the AEO, UFI & SISO, these guidelines offer best practices to support the safe delivery of all types of events across the world. The Reuters Events All Secure Pledges are the way these industry-wide All Secure guidelines are being applied to our events. They will underpin the health and safety plans for all events in our portfolio.

You can expect to see that health and safety is a priority, and that a range of measures are in place to ensure everyone involved is able to enjoy a safe, hygienic, productive and high-quality organised event experience.

Reuters Events will follow government rules and regulations and health authority guidance for the location the event is taking place in. In addition, we will run in accordance with any venue specific requirements and following our All Secure Pledges around Physical Distancing, Cleaning & Hygiene, Protect & Detect and Communications.

The main symptoms of Covid 19 are:

High temperature – this means you feel hot to touch on your chest or back (you do not need to measure your temperature)

New, continuous cough – this means coughing a lot for more than an hour, or 3 or more coughing episodes in 24 hours (if you usually have a cough, it may be worse than usual)

Loss or change to your sense of smell or taste – this means you've noticed you cannot smell or taste anything, or things smell or taste different to normal

All attendees will have access to a qualified First Aider and a quarantine area, where possible.

We encourage you to bring your own mask/PPE but we will have extra masks and gloves onsite, if needed.

Enhanced cleaning will take place at the venue pre and during event. The focus will be on high-touch areas such as exhibits, conference room, catering areas and restrooms.


Cancellation

Please make sure you take out adequate insurance to cover your travel.

Please refer to the guest room cancellation policy of the hotel you have booked at. Please refer to your insurance policy


Onsite Experience

Yes, registration points will be contactless and self-scanning will be available. If you do need to visit the registration desk, we will ensure plexiglass shields are in place at all registration counters to minimise contact.

Reuters Events will work closely with venue partners to ensure the highest standard of food safety. We will be minimising self-service buffets in favour of serviced or pre-packaged food options. If any queuing is anticipated, physical distancing will be maintained through the use of floor markings and signage.
